Printers - Common Issues and Solutions

We thought it would be useful to share some DIY fixes to common printer problems- anything complex, we are here

PAPER JAMING

Reason for placing this as the problem no. 1 is this happens to all of us multiple times a day Strangely, the human loading of paper is more curtail than blaming the printer. The last person loading the paper should ensure that paper is “lined-up”, paper tray is not overly loaded and the guides are flush with the paper Ensuring the correct paper tray is chosen {if you are printing envelops, relevant paper should be defaulted, if not, the fuser unit in the printer gets heated faster) Media that you are printing should correspond to the paper

PRINTER NOT TURNING “ON”

Ensuring the printer has the power – This is a basic tangible requirement. The intangible requirement her is to ensure the printer is identified on the options when you go – FILE> PRINT

PRINTER IS “SLOW”

Two simple fixes –

  • Update the software OR
  • Too far off from the router

PRINTER SECURITY

Printers are generally overlooked when securing business devices. Some of the steps to increase the printer security are

  • Limit of disable network printing
  • Securing the printing ports
  • Using a firewall
  • Updating Printer’s firmware regularly
  • Changing the printer password regularly

VERTICAL LINES ON DOCUMENTS

The dust sitting on the think dark panel on the left side of the glass (marked with a red arrow) needs to cleaned off, preferably with the alcohol-based wipes.

DOCUMENTS WITH MARKS / FADED AREAS

More than the printer, the cartridges are to be investigated here. Just check if the cartridges have dried up? If you can see the contents are there then do this trick

  • Take two towels – one wet, one damp
  • Remove the cartridge and blot is on damp paper towel – do this a few times (printer-head down)
  • After blotting the printer-head, press the cartridge against the dry paper towel for about a minute, this will make the dried ink to disappear
  • Do the test print now

PRINTER – WI-FI CONNECTION ISSUES

Most common issues – If you have changed your network security setting – password or router – you may need to re configure the printer If you have not touched the network security settings, then a simple re-booting of the printer (turning it off then back on) recognises the IP address and the printer should connect

MOBILE ENABLED PRINTING

This technology of printing from mobile is getting popular day by day Most printers support AirPrint allowing iOS devices (iPhones, iPads) proving they have the same WI-FI network. Printing companies have released apps for all iOS & Android users to print from their devices

As the result of the COVID, most of the people are working from home. Not sure what % of those do not have a printer access?

If you are the employer, it will would be wise to browse for small size printers for their employees. I am sure if the numbers stack up, you can negotiate with the retailers or even with the manufacturers to work out a win-win deal…
